Five ways to take an idea from planning to project
Define Roles and Responsibilities

One of the most critical steps in taking an idea from planning to project is defining roles and responsibilities. Who will be the project lead, and who will be responsible for making key decisions? An effective way of communicating this is by a RACI Matrix.

A RACI matrix, also known as a responsibility assignment matrix, is a project management tool used to clarify the roles and responsibilities of individuals or groups involved in a project

The acronym RACI stands for:

Responsible: The person or people who are responsible for completing a task or deliverable.

Accountable: The person who is ultimately accountable for the success or failure of the project or process. This person is usually the project manager or the leader of the team.

Consulted: The people who are consulted for their expertise or input on a task or deliverable.

Informed: The people who need to be kept informed about the progress of the project or process.

A RACI matrix typically takes the form of a table with tasks or deliverables listed along one axis and the roles or responsibilities listed along the other axis. Each cell in the table identifies which role(s) are responsible, accountable, consulted, or informed for each task or deliverable. This helps to ensure that everyone involved in the project understands their roles and responsibilities, reducing confusion and improving communication.

Defining these roles upfront will help ensure that everyone is clear on what is expected of them, and that there is a clear line of communication and accountability.

Develop Solid Plans and Briefing Packs

Developing solid plans and briefing packs is another critical step in setting up your project for success. Some key components of a comprehensive briefing pack include a project overview, timeline, budget, stakeholders, team members, communication plan, risks and issues, quality assurance plan, project scope, technical and legal requirements, and evaluation criteria. Working through each component will help you identify any gaps in your knowledge or resources and ensure that you have everything you need to move forward. It will also help you to communicate your vision and goals clearly to others involved in the project.

Get the Right People in the Room

Getting the right people in the room is essential to the success of your project. This means finding people who have the necessary skills and expertise to bring your idea to life. However, it is also important to consider the delivery of your message and the agenda you will use to take people through the project. It’s not a one-size-fits-all approach, and you may need to tailor your approach to the specific needs of your team.

Retrospectives are Crucial

Taking time to reflect on your progress is an essential part of any successful project. This means taking a step back and evaluating what is working and what is not. It’s important to be honest with yourself and your team about what is successful and what needs to be improved. Scheduling in regular retrospectives will help you to make adjustments as needed and ensure that you are always moving in the right direction. Failure to do this can lead to missed opportunities for growth and improvement, repeated mistakes, and a lack of accountability for actions. What’s more, not taking the time to reflect and learn can lead to stagnation and complacency, making it difficult to adapt to new challenges or opportunities.
